Client Accounts Assistant (Croydon Based)

PERSONAL REQUIREMENTS
Understanding of all HML Processes, Practices and Ethos
Well-developed interpersonal and oral communications skills
Interpersonal skills and customer focused
Strong organisational skills
Ability to work on own initiative
Good numerical skills
Diplomacy
Ability to work as a team player
Ability to prioritise critical workload and work under pressure and strict time frames
Experience in the property management industry would be a bonus but is not essential.

MAIN DUTIES AND RESPONSIBILITIES



* Preparing the paperwork for the year end accounts pack and sending to the external accountants.
* Ensure that service charges are accounted for in accordance with the RICS Code of Practice, ARMA-Q rules, Accounting regulations and other HML best practices. This includes but is not limited to the accurate and timely issue of service charge accounts (within 6 months of the year end and issuance of section 20b notices where applicable. This also includes statutory accounting and taxation affairs.
* Liaising with the property managers, portfolio accountants and external auditors via email, over the phone and in person, to obtain approval of the year end service charge accounts within 6 months of the year end date and company accounts within 9 months of the year end date.
* Dealing with queries from the property managers, accountants and our clients, ensuring that these are responded to within 3 working days.
* Assisting with the preparation of the year end balancing service charge surplus/deficit calculation, input of the year end balancing amount and raising credit notes/manual demands as appropriate.
* Preparing mail-merged letters and distributing along with the year end accounts and balancing demands or credits.
* Assisting with the preparation and processing of reserve fund estimations and processing cash adjustments at year end, or when requested.
* HML PM Limited Job Description
* Assisting with obtaining the year end adjustments from the external accountants and inputting onto a schedule for approval by the Client Accounting Manager or Client Accountants. On Approval the journal vouchers require input on the PMS system. Journal's need to be entered for every development managed therefore there are approximately 2,500 currently that have to be collated and input on an annual basis.
