PERSONAL REQUIREMENTS



* Accounts experience essential (preferably within the Property Management sector)
* Good understanding of working with excel and financial information spreadsheets
* Good interpersonal, oral and written communication skills
* To be able to work and communicate both with internal and external clients
* Ability to prioritise workload and work to deadlines
* To take pride in the presentation of work and have an attention to detail
* To be a good team player
* Ability to provide full administration support to the team
* Good understanding of the operation of all Microsoft products
* Ability to pick up and adjust to new property management software packages quickly (preferable)
* Experience with On-Base document management system (preferable)


MAIN DUTIES AND RESPONSIBILITIES

This is an opportunity to have a varied role within a growing team in the New Business Department. Primary duties will be to ensure the accurate analysis and effective upload of new properties to the PMS system and to provide continued accounts support. This will cover properties gained through our sales team (New and Existing Build) and also through the acquisition of new companies.

Key duties of the role are as follows, and full training will be provided.



1 Financial

1 To liaise with Finance and BDPM's to support all aspects of internal and external finance queries.
2 Demand raising.
3 Opening property bank accounts.
4 Dealing with service charge billing queries.
5 Assist with reviewing service charge year-end accounts.
6 Liaising with the Senior Analyst and Client Accounting team in areas of cross over - for example loading of initial funds received, raising of on account charges and bank accounts.
7 Keep a record of all completion statements received from developers and their solicitors.
8 Record all funds received in respect of the completions into spreadsheet.
9 Responsible for developer voids cost management.
10 Management of other financial matters as and when required.



1 Integration/ Block Loading (To assist as and when required)


1 Assisting Senior Business Development Integrator with collection of all relevant documents and information relating to new properties where required.
2 Complete block loading checklist ensuring that outgoing agent or Developer has been chased for all required documentation ready to be saved to property folder.
3 Analysis of documentation once received such as completions, plans, accounts, lease/TP1 analysis etc.
4 Support Senior Business Development Integrator and Analyst with key upload process across both sides of integration.
5 Loading of the development information onto PMS.
6 Review and upload of budgets to PMS - based upon information supplied by client.
7 Understanding of budget information presented in excel format with multi scheduling and matrix for apportionment options.
8 Keep record of budgets, update revisions and ensure budgets reflect and refer to the various plans and other documentation provided by client.
9 Ensure that Handover Tracker for all new business is completed in full and follow up with previous managing agent or relevant developer via email or telephone to request that any remaining info is provided promptly.
10 Manage distribution of Welcome Packs to all relevant residents and ensure that Property Managers have tailored welcome letters to each client.
11 Filing and collation of full documentation for all new properties/acquisitions. Potential to incorporate upload to On-base as the role develops.
12 To assist team with keeping work in progress spreadsheet up to date. Working through each process stage of the development from initial legal set up to final handover to the property management team.


1 General


1 Communication with leaseholders and clients in written and oral form.
2 Handling telephone calls and taking detailed messages as and when required.
3 Dealing with queries for both clients, previous agents and potentially leaseholders.
4 Dealing with written correspondence/e-mails internally, responding and liaising with appropriate parties.
5 Any ad-hoc duties as and when required.
